A rental deposit can be a sizeable part of the money you need when collecting a car. Before paying, find out how it is recorded, what it covers and how its return will be handled. These details matter just as much as the advertised rental price.
Separate the deposit from the rental charge
Ask for the rental fee and deposit to appear as separate amounts in your agreement or payment confirmation. Also check whether the deposit is a card hold, a card payment, a bank transfer or cash. A released hold and a refunded payment are different processes, so the expected timing should match the method used.
Save the reservation number and proof of payment together. If someone else pays on your behalf, ask how that will be recorded and which account can receive a refund. Do not assume that a deposit automatically covers a future rental week.
Agree on the return inspection
At collection, record existing marks, the fuel level, mileage and the accessories supplied. At return, request another condition check and keep the handover record. Photos are most useful when they show both a close view of a mark and enough of the vehicle to identify its location.

If the returned amount is different
Ask for an itemised explanation linked to the agreement and inspection record. For example, a message saying “damage charge” is less helpful than a description of the affected panel, dated photographs and the amount charged. Keep your original records rather than editing or replacing them.
If you disagree, explain the specific difference and attach the relevant collection or return evidence. This gives both sides a clear starting point for resolving the issue.
