A fuel card statement becomes more useful when you can follow each purchase from the original transaction to the total on your account summary. You do not need to inspect every column at once. Start with the details that identify the purchase, then check the amount.
Identify the transaction
Look at the customer or driver name, card number, purchase date and time. These details help distinguish one purchase from another, especially if several drivers or cards appear in the source report.
Keep the purchase date separate from the date the report was downloaded or uploaded. A report created this month can include purchases made in an earlier period.
Read quantity, price and sum carefully
Check the column headings and any explanation supplied with the report. Quantity may describe litres or another unit, while price may describe a unit amount. A column called Sum usually identifies a total, but confirm how that report handles tax, discounts, currency and rounding.
Multiplying a quantity by a unit price can be a useful sense check. If the result differs from the displayed total, compare the report's definitions before assuming an error.
Check station and service information
The station name, address and service description help explain what was purchased and where. Fuel cards may support more than one type of purchase, so a service description can matter when reviewing an unfamiliar charge.
If two entries appear identical, compare their transaction references where available. Repeated dates or matching amounts alone do not prove that a charge is duplicated.
Compare the detailed rows with the summary
Use the transactions included for the stated settlement period to check the fuel expense total. Then compare that total with the combined driver summary, where the relevant fuel expenses should be counted once.
If you need a review, send the statement period, date, time and amount through the appropriate private support channel. Avoid publishing full card numbers or personal statements in a public comment.
