A vehicle handover is your opportunity to understand the car and agree on its condition before the rental begins. Keeping a short checklist on your phone helps you cover the useful details without rushing through the appointment.
Check the booking information
Confirm the vehicle being supplied, rental dates, return time and contact details. Make sure you understand who is permitted to drive and how to report an issue. Save the agreement and booking reference somewhere you can reach them during the rental.
Record the outside in a consistent order
Walk around the car and look at the front, rear, both sides, wheels and visible glass. Photograph the overall condition and take a closer picture of any existing mark. Make sure that mark is also recorded with the rental provider.
Use clear lighting where possible. A close-up becomes more useful when another photograph shows where on the vehicle it was taken. Keep the original pictures with their dates rather than relying only on a compressed copy in a messaging app.
Check the interior and dashboard
Record the mileage and fuel or charge level, where relevant. Check the interior condition and the equipment listed for the handover. Ask how to use unfamiliar controls before leaving.
If a message or warning is showing, raise it with the team at collection. It is easier to discuss what is present together than to reconstruct the handover later.
Keep the return arrangements visible
Before driving away, confirm where and when to return the vehicle and how changes are agreed. At return, repeat the same walk-around and record the final mileage and fuel or charge level. Request confirmation that the vehicle has been handed back.
