An Unfamiliar Fuel Card Transaction: What to Check FirstDriver Earnings

An unfamiliar station name or a delayed transaction entry can make a fuel statement confusing. Start with the original transaction details rather than deciding from the total alone whether the purchase belongs to you.

Match the card and the purchase

Compare the card reference with the card assigned to you. Then look at the purchase date, time, station address, quantity and amount. The account name, driver name and station trading name may describe different parts of the record, so read each label carefully.

Use your receipt or your own journey notes to check whether you were at that location. Keep the transaction timestamp distinct from the date the statement was uploaded. A file imported this week may contain a purchase made in an earlier period.

Check for duplication before changing anything

Two identical amounts do not necessarily mean the same purchase was imported twice. Compare the transaction references, timestamps and other details. Equally, a weekly subtotal should not be treated as another purchase when the individual transactions are already listed.

  • Card reference, shared through an appropriate private channel.
  • Purchase date and time.
  • Station name and address.
  • Quantity, price and transaction amount.
  • Transaction reference and the statement containing it.

Report a genuinely unknown purchase promptly

Contact the card issuer or the partner responsible for the card using a verified contact route. If the card is missing, explain that immediately and ask about blocking it. Do not wait for the next earnings payment simply because the transaction has not yet appeared as a deduction.

Keep the message factual: “I cannot recognise this purchase at this station and time; please review it.” Avoid sharing the full card record in a public review or group chat. The review may require the issuer's transaction information rather than only the partner's spreadsheet.

Follow the item through to settlement

If a correction is agreed, ask which reporting period will show it. Keep the original line and the correction record together, so that a refund or reversal is not mistaken for a new fuel purchase.

For a GoRush fuel statement question, send the team the transaction reference and reporting period. When checking combined Uber and Bolt earnings, also confirm that the same fuel expense has been included only once.
